Tara Timosevik of HR DELL comments.....
"Fantastic, brilliant, exciting, wow = 100%"!
The comment was brief, but considering having just completed an Amazing Race in Sydney's tempus and wet wild weather conditions with the desire to postpone. DELL was rewarded by their achievement of bonding the team and overcoming adverse conditions together.
The RESULT =
Positive team attitudes creating success in Australian & World Markets.
Team Building Event Management is the realm of professionals who have contacts, equipment, site knowledge, can motivate, direct and handle all logistics from equipment, venue, locations, permits, councils and personal interactions.
Team Building Event Management is not for the faint-hearted.
The propensity for things to go wrong cannot be underestimated.
Long-term strategic planning, co-ordination of many disparate suppliers, confirming, checking and re-checking should deliver an outstanding result.
However, failure to identify and address even the smallest detail could spell disaster. If you have been responsible for organising an event either at your workplace (or perhaps even personally), you will have your own ‘tales of woe’ to tell, including vivid memories of when something didn’t go as planned.
Engage the services of a professional event manager.
Recognised world-wide as specialist, highly trained people, the appointment of an event manager can be likened to taking out an insurance policy against event failure.
Good event managers would engage in extensive consultation in order to truly understand their clients’ objectives.
Additional factors they would consider to ensure successful co-ordination, management and hosting of an outstanding event include:
• Being clear of what the client is trying to achieve and who the target audience is
• Taking an integrated approach to the entire event (What is its purpose? Is it part of a bigger event? If so, where does it fit in?); Branding / presentation, catering, entertainment, etc)
• Partnering with reputable industry-leading suppliers
• Using technology to assist in information management this is where Conference Online is the premium choice and perfect business partner!
• Being aware of any cultural (corporate, country, political or other) sensitivities
• Confirming all arrangements and agreements in writing
• Using extensive checklists to ensure every possible contingency is covered
Thrill has Event Managers who can offer expertise equal to or better than anywhere else in the world.
With the Darwin Convention Centre now open the event management sector and its ancillary providers are busier than ever before.
Don’t risk your own or your organisation’s reputation outsource to professional Event Managers who will ensure that your event is supported, attended and remembered for all the right reasons.
Top 10 tips for running your own sensational Team Building Event.
1. Start organising now and be very realistic about how much time you and your colleagues can devote as most things take longer than anticipated particularly if a committee is involved. You can always slow things down, but trying to get things moving at the last minute will create immense stress for everyone.
Running a successful team building event takes planning, organising and continual prioritizing … all of which take time - a commodity most people do not have much of these days.
2. Clearly identify the purpose, target audience and desired outcomes for the event ie: why are you looking to hold this event? Who is the prospective audience and what do you want these attendees to go away with? Agreeing on outcomes assists in keeping people ‘on track’ and gives some objectivity to post-event evaluation.
3. Make no assumptions. It’s guaranteed that everyone, including professionals have a different ‘take’ on what’s wanted or needed. Provide a clear brief and state the obvious, articulating the ‘must haves’ or not negotiable components of the event eg: speeches, special entertainment, etc. Similarly, the ‘must nots’ to ensure they don’t occur or creep in due to not being identified right up front.
4. Do a budget. Have a firm idea about how much money you want to spend to ensure that the event is feasible and will achieve objectives within this financial framework. This keeps everyone ‘real’ and assists in the scoping of possibilities to deliver desired outcomes with available resources.
5. Be creative and courageous to deliver an enjoyable and memorable event that attendees will ‘rave’ about weeks and months after it’s over. After all, isn’t this one of your key desired outcomes?
6. Use technology where and whenever possible from initial planning, to ongoing communication and marketing of the event. And remember, back up all data regularly otherwise ‘Mr Murphy’ may pay an unexpected visit, just when it’s not convenient…. and that’s at any time when organising an event. But there’s a better option - choosing Conference Online to be your technology partner will ensure you will never have to experience the ‘droll’ on having to do manual administration work related to an event, conference or workshop ever again…and being web-based, you don’t even have to back up!
7. Appoint a good MC who has been very well-briefed and would be comfortable should they have to ‘save the day’ due to any unforeseen circumstance in the public arena. This is crucial to maintain a flawless and calm presence throughout proceedings giving a professional and polished delivery.
8. Use good audio visual equipment and invest in the best production crew you can afford. We have all been to an event where the AV doesn’t work properly or dies in the middle of a presentation and spoils the entire event, spelling disaster for the client and event manager alike.
9. Review and evaluate the event : what went well? What could be improved? There’s always a ‘next time’… but if you don’t want to do this again yourself, then….
10. Unless you want to invest many, many hours on top of your regular job - appoint an expert. By all means, work closely with and learn from the expert, but in hindsight you will be glad you appointed someone who knows what they are doing. Amateurs and volunteers often lose the vision and run out of steam way before the ‘big day’ creating huge stress thereby perpetrating the ‘nightmare’ of event management which so many have experienced. A professional event / conference manager does what is required every day with multiple clients; knows what’s required and paces themselves and their supporting team members accordingly. As the client, your biggest worry on the day will be what to wear and who to talk to at your event.
